The "All Employee Kick-off Meeting", where all employees from Hewlett-Packard Japan, Ltd (HPE) gather, is a great opportunity for the managers and employees from all over the country to meet face to face. By providing its technologies and solutions, HPE has shortened the time for customers to create value from ideas, and has supported the changes the take place in companies, the market and in people’s lives.
JTB Communication Design has been supporting their “All Employee Kick-off Meeting” since 2012.
We have supported a wide range of tasks related to event planning and management on a one-stop basis. This contains proposal of contents, like a program structure which accurately conveys the company’s wishes; providing a communication program that concerns both management and employees; venue sourcing and adjustment; video production; various equipment and constructions; on-site management, and more.

【Client's Requirements】

The “All Employee Kick-off Meeting” is a general meeting held once a year where all the employees gather.
The event was largely divided into two parts which had its separate goals. The first part of the event concerned explaining the management policy. Here, the president and executive officers urge their employees to grasp a full understanding of the various management strategies and policies by personally presenting them. The second part of the event was an award ceremony to award last year's "excellent employee awards", with the goal to motivate employees. Also, during the event held in November 2015, a new branch office was launched. As a new-generation of HPE employees came with this new branch, it was requested that the presentation would motivate for further growth and foster a sense of unity among all employees.

As the external environment and market changes daily, HPE also takes new steps, and we at JCD consider those changes that happen from time to time together with HPE to plan the best program composition that suits each year`s gathering.

【Increasing Motivation through the Award Ceremony】
We produce a so-called "MVP video" for each year`s gathering which consists of images of employees during work hours but also features interviews with colleagues and customers. It is not only for the purpose of praising the winner of the award but also as a source sharing it with other employees and as a source to motivate them in their own endeavors. We select words that will increase their motivation and incorporate a style that can deliver a competency model for all employees.

【Suggestions for enhancing engagement with participants】
In order to raise awareness of this event for the participants, we planned advanced promotion in ways of an employee participation program. This included special postcards and the creating of a “challenge declaration poster”, on which employees could commit their achievements for the day. Also, employees gather from all over the country, which created opportunities for interacting among officers and employees for the many different offices. In addition to ordinary catering services, we also proposed the placement of kitchen cars outdoors and suggested a beer service, which delighted many of the employees.

【Venue sourcing with maximum effect】
In 2017, we suggested holding the event at the Maihama Amphitheater, which is usually used as a concert hall. From the characteristics of the shape of this venue, it became possible to attract participants' attention and strengthened the power of the speeches held on stage.

As you can see from the photos, the event was a success. Our skills, ideas, knowledge, use of technology and most of all our sense of hospitality have been highly appreciated by our clients.
